Schedule: Full-Time | Hybrid (2 Days In Office / 3 Days Remote)
Hours: Monday-Friday, 8:00 AM - 5:00 PM
Compensation: $85,000 - $114,321
Employment Type: Direct Hire or Temp-to-Hire

About the Opportunity

A premier international Labor & Employment law firm is seeking an experienced Litigation Secretary to support attorneys in a busy civil litigation practice. This position plays a critical role in ensuring the efficient management of litigation matters from inception through trial while delivering exceptional client service.

The ideal candidate will have strong experience supporting state and federal civil litigation, including document preparation, docketing, court filings, discovery, and calendaring. Key Responsibilities

  • Prepare, format, proofread, and finalize legal documents including pleadings, motions, briefs, correspondence, discovery, and other litigation-related materials.
  • Create litigation document shells and ensure documents comply with applicable state and federal court rules.
  • File documents electronically in state and federal courts using ECF/PACER and other e-filing platforms.
  • Maintain and manage litigation calendars, including deadlines, hearings, depositions, court appearances, and other critical dates.
  • Perform docketing functions and monitor court rules, filing requirements, and procedural deadlines.
  • Coordinate scheduling with court clerks, court reporters, videographers, clients, and opposing counsel.
  • Assist attorneys throughout the full litigation lifecycle, including discovery, motion practice, trial preparation, and post-filing follow-up.
  • Generate and update Tables of Contents and Tables of Authorities.
  • Maintain electronic and physical client files and records.
  • Coordinate attorney travel arrangements and related logistics.
  • Review, revise, and enter attorney time entries and litigation billing codes.
  • Prepare attorney reimbursements, mileage reports, and expense submissions through Concur.
  • Review vendor invoices, prepare payment requests, and coordinate with accounting and clients regarding invoice processing.
  • Provide professional and responsive telephone and administrative support to assigned attorneys.

Qualifications

Required

  • Minimum high school diploma or equivalent.
  • At least 5 years of legal secretary experience supporting civil litigation practices.
  • Demonstrated experience with state and federal civil litigation.
  • Strong knowledge of California court rules, procedures, and deadlines.
  • Experience performing litigation docketing and calendaring functions.
  • Experience supporting cases through the entire litigation process, including discovery.
  • Proficiency in:
    • Microsoft Word, Excel, PowerPoint, and Outlook
    • PACER and ECF filing systems
    • LexisNexis
    • Document Management Systems
    • Time entry and billing software
    • Concur

Preferred

  • College degree.
  • Experience with:
    • iManage
    • NetDocuments (NetDocs)
    • Milana (CompuLaw-based calendaring system)
    • Best Authority

What We're Looking For

Top Three Qualifications

1. State and Federal Civil Litigation Experience

  • Ability to prepare and finalize litigation documents.
  • Knowledge of court filing procedures and applicable rules.
  • Familiarity with California state and federal court requirements.

2. Strong Docketing and Calendaring Skills

  • Experience calculating and tracking litigation deadlines.
  • Ability to manage complex attorney calendars and court schedules.

3. Teachability and Flexibility

  • Willingness to learn firm-specific systems and procedures.
  • Adaptability in a fast-paced environment.
  • Strong problem-solving skills and a team-oriented approach.

Work Environment

  • Hybrid schedule after training period: 3 remote days and 2 in-office days per week.
  • Employees may select their remote workdays with manager approval but must maintain a consistent schedule.
  • First month of employment will be fully onsite for training and onboarding.
